Having the relevant skills necessary to manage a medical office is crucial to getting a job in the health care field. As a medical office manager, you will be responsible for making sure that the practice you work for runs efficiently. You're the key person that both patients and doctors will rely on, so it is necessary to have a strong administrative background and be extremely organized.
A medical office manager is accountable for:
- Patient scheduling and referrals
- Medical billing and insurance claim submissions
- Maintaining a patient database
- Supervising front desk staff
- Scheduling surgical procedures and operating rooms
- Coordinating doctors' calendars
Medical Coding and Filing
Paper work is an important part of any office, and the medical office manager plays a governing role in making sure that all the necessary forms and reports are organized and readily available. Each patient has to have personal information, insurance forms and payment plans on file, all of which need to be updated as needed.
A particularly important aspect of medical paper work is coding insurance forms for all patients. These time-consuming forms must be accurate because insurance companies will sometimes delay payments to a practice if a code is missing or some patient information is left out.
In an increasingly technology-driven world, many patient files are being converted from paper to digital documentation. Managers will need to play a part, at least in a supervisory role, during this transition.
Patience Is Key
As a supervisor, it's vital to be extremely patient and to work well in an environment that may be very busy and stressful. Medical offices are filled with patients of different ages, backgrounds and illnesses. You may need to help people fill out insurance forms and repeatedly explain to them how their respective policies work. Another common issue to address is that doctors invariably get behind in their schedules, which can lead to crowded waiting rooms full of upset patients. You also might be called upon to answer phones and help with scheduling or referrals if the front office staff become overwhelmed. A supervisor must be diplomatic in dealing with all types of people in a medical office: the doctors, the patients and the staff.
A medical office manager needs to be a versatile, adaptable supervisor who is ready to step in to help a number of different people in the office. Organization and prioritization are important attributes in a position that can offer a myriad of challenges, sometimes all at once. Whether it's a patient, doctor or staff member in need, the manager is responsible for coming to their aid and keeping the office running as smoothly as possible.
